Online licensing portal access & registration improvements

The Illinois Department of Agriculture’s Division of Cannabis Regulation has begun the process of moving certain functions to an online licensing portal:
 

  • In July 2024 Cannabis Businesses Will Receive Access to An Online Licensing Portal 
    • Primary email contacts on file with the Department will have initial access to login and see their account-level details as well as license copies and associated organizational information. 
  • Online Registrations & Updates Go Live in August 2024
    • The first major processes to go live are online product and vehicle registrations, slated for August 6, 2024 (previously July 16).  The previous paper (pdf) registration processes will end. 
  • Products & Vehicles That Were Registered Prior to The Move Online Must Be Updated
    • Products and vehicles registered prior to August 6, 2024, are considered “legacy” registrations.  Legacy registrations must be updated to include all required information and uploads indicated in the online portal.  Failure to do so before January 2025 will result in the registration being considered incomplete.  The Department plans to deactivate all incomplete registrations beginning in January 2025.
  • Product Registration Updates Will Be Required to Use New Packaging and/or Labeling
    • Beginning in January 2025 (previously July 2024), any new packaging or labeling intended for use will require a product registration update.  January 2025 forward, new labeling and/or packaging cannot be utilized until your organization has received notice from the Department that the registration update has been completed.

 

  • All Previously Registered Product Registrations Will Continue to Be Migrated Through August
  • Cannabis Businesses Will Be Required to Clean Up & Deactivate Inactive Products
  • What Steps Should Cannabis Business Establishments Take to Prepare for The Online Transition?
    • After gaining access to the portal, review your details for accuracy and completeness.  Contact emails and account users require serious consideration to ensure the most appropriate individuals have the access they need to maintain account users and receive future communications that may be sent from the Department. 
    • Prepare a list of active products and collect images of their active packaging and labeling.  Beginning as early as August 6, organizations will need to compare their active products with the list that will be available in the online portal. 
    • Once your organization has established access to online product registrations, begin deactivating duplicate registrations as well as products that are no longer being produced.  Then for the remaining active products, upload active packaging and labeling images.  These steps must be completed before end of year.  Failure to do so may result in your organization being found non-compliant or having incomplete registrations deactivated.

 

  • All Vehicles Must be Fully Registered Online Before End of Year 
    • Previously registered vehicles will be migrated to the new portal, licensees will need to update existing vehicle registrations by December 31, 2024.
  • What Steps Should Transporters Take to Prepare for The Online Transition? 
    • Have a list of active vehicles ready so your organization is prepared to complete each of their online registrations beginning in August 2024.
    • After gaining access to the portal, review your details for accuracy and completeness.  Contact emails and account users require serious consideration to ensure the most appropriate individuals have the access they need and so contacts will receive future communications that may be sent from the Department. 
    • Once all vehicles are re-registered online, continue to maintain all current information by utilizing the vehicle update and deactivate options when necessary.
